CAVE Student Lead Users Group Constitution

ARTICLE I - NAME AND PURPOSE



Section A - Name

This organization shall be known as the CAVE Student Lead Users Group.
Section B - Purpose
This group shall perform services for students, the University, and for Virtual Prototyping & Simulation Technologies, Inc.(VPST). We will be responsible for managing the database of student ID numbers that are allowed access to the CAVE. Every student who wants access will be allowed to use the facility. We will help VPST prepare for workshops in exchange for attending the workshops. We will also participate in making the cave more usable and accessible. We will support the future goals of the NCSA - PACI Alliance (http://www.ncsa.uiuc.edu/Indices/Spotlight /AllianceBackground.html#4).

ARTICLE II - MEMBERSHIP


Section A - Membership Categories
1. Membership Requirements - A student must be enrolled at least part time with the University. All members must be in good standing with the University, for example, no honor code violations.
2. Associate Members - Associate members will be allowed to participate in group activities, but will not be allowed to vote, hold an office or compromise a majority of the total membership.
Section B - Non-Discrimination Statement
The CAVE S.U.G. does not discriminate against members or potential members on the basis of race, color, sex, sexual orientation, disability, age, veteran status, national origin, religion, or political affiliation. Anyone having questions concerning discrimination should contact the Equal Opportunity / Affirmative Action Office.

ARTICLE III - GOVERNANCE


Section A - Officers and Duties
President - To serve as a link between the group and the University and ensure that the group maintains a good working relationship with the University. To perform the annual registration with LSOP. To oversee the group budget, and to present the budget to the SGA. To coordinate and preside over the group meetings. To work with the other officers and the group to ensure its overall success.
Vice President - To serve as an aide to the President. To preside over the meetings in the Presidents absence. To deal with To assist in the development of the yearly budget.
Treasurer - To maintain the financial records for the group and keep the minutes for the meetings . Also, to assist the other officers with the yearly budget.
Coordinator - It is the job of the Coordinator to match members with projects. This entails brainstorming new ideas, starting groups to work on project ideas and matching members to existing projects. It is also the job of the Coordinator to track the various CAVE projects in which CAVE SUG members are engaged. This is to help match members to projects and promote the reuse of code and techniques. Finally, the Coordinator is also instrumental in bringing in recruiting new members with ideas and talents. All these duties are performed so that members work efficiently, enjoy what they accomplish and minimize duplication of work.
Section B - Elections
Officers will be elected during the spring semester. The term of service will be two semesters. Two thirds of the members must be present to hold an election.
Section C - Qualifications and Replacement
Officers must be Virginia Tech students enrolled for at least six credit hours per semester. An officer can be removed or replaced by a two-thirds vote from the members.

ARTICLE IV - ADVISOR


The Advisor should act as a link between the university and the group. They should also offer advice to the group and mediate should a disagreement occur. And the advisor should supervise the distribution of organizational finances.

ARTICLE V - MEETINGS


Section A - Meetings
Meetings shall occur bimonthly.
Section B - Quorum
At least 50% of the active members must be present to conduct official business.

ARTICLE VI - FINANCES


There will be no membership fee for this organization. All University funds received will be placed into the CAVE S.U.G. account and used only for the benefit of the group.

ARTICLE VII - AMENDMENTS


An amendment to this constitution can be made by approval of two-thirds of the active members.

ARTICLE VIII - RATIFICATION


A majority of the members present is necessary to ratify this constitution.
